Inspection Management

GL Suite provides comprehensive functionality to manage almost every aspect of inspections.
  • Field Inspectors can view schedules, enter inspection data, edit or delete inspection information, and report results on portable devices.
  • Inspection results can be tracked and associated with a licensee/license.
  • Multiple inspections can be added at once or over time for a license or entity.
  • Workflow events, such as recording complaints and violations, can be easily captured.
  • Infinite data associations, including specific violation codes and their descriptions, can be tracked.
  • Information can be searched, viewed and presented in report format.
  • Security (permissions) can be defined for view, entry, edit and delete by users.

Scheduling

GL Suite provides full scheduling capabilities. For example, scheduling can be configured to allocate only certain inspectors to a particular inspection type or location. Within that group, the system can be set up so the same inspector is always assigned to a particular type or location, or inspectors can be randomly selected.
Staff can enter inspection appointments on an internal calendar, or the inspection date and other information can be entered within the inspection record. Either way, inspections can be easily tracked and managed.

 

GL Suite can also be set up so that inspections are automatically triggered, based on such things as date last inspected, complaints filed or other criteria defined by your agency. You can schedule inspections at any frequency. Through a batch process, calendar events can be easily monitored. A summary of tasks can be displayed for a record or as a task list for specific users or groups.

 

Financial

Inspection fees can be set up so that the invoice is automatically created and the correct amount is always assessed the individual or business entity. This functionality is fully configurable, based on criteria defined by your agency.

 

Correspondence and Reports

Inspection results can be made available to staff members according to their defined security permissions. Reports generated by the system can include such things as inspection statuses, violations, outcomes, penalties and all other desired inspection information. Data that you want to include can be accessed by parameterized query, English query or standardized report format such as Crystal.

 

GL Suite produces and stores document images, such as violation notices and other documents. GL Suite interfaces with third party document imaging software/hardware so that your staff can scan, relate and store documents in GL Suite that have been received from an outside source. GL Suite enables you to run a batch process to automatically create necessary correspondence for tracking documents through the chain of command. As with other processes, GL Suite can also be configured to automatically notify staff or other parties by email.
